Part Time Receptionist

Duration: Temporary with a view to becoming permanent Hours of Work: Monday – Friday from 12.30 until 17.00 Roles and responsibilities: Providing a warm professional welcome to internal and external visitors to the building, ensuring an excellent first point of contact for everyone, projecting a positive image of the company. To project an excellent telephone manner and manage a busy switchboard with smooth efficient transferring of incoming calls to the relevant parties. Meeting and greeting candidates and clients. Manage and facilitate a room booking system for internal parties and external partners. Order catering and arrange refreshments for meetings ensuring that all requirements are met first time. Ensure that daily incoming and outgoing mail is delivered to the appropriate destinations in a timely manner, and that all deliveries are distributed & stored as required. Provide visitor’s badges to relevant people and maintain a log of these for security and Health and Safety regulations. Booking travel and accommodation. Booking taxis. Distributing incoming faxes. Creating and distributing the weekly on call rota. Updating the screens in reception with messages as required. Ordering stationery. General Typing when other departments are busy. Franking mail and taking to post office when necessary. Maintaining quality for candidates and clients. Carry out daily facilities and housekeeping functions within reception as well as logging any maintenance issues with the relevant team. Providing ad-hoc photocopying and laminating facilities duties when required. Such other duties within the competence of the post holder, which may be required reasonably from, time to time.
